Booking Terms and Conditions

1. Bookings
1.1 Credit Card Details
Credit card details provided at the time of booking will be securely held for 14 days after your departure to cover any damages, replacements, or cleaning fees as outlined in these terms and conditions. If you did not use a credit card to book directly with Barossa Grand Retreats, we reserve the right to request credit card details upon your arrival.
By providing your credit card details, you authorise Barossa Grand Retreats to charge for any applicable fees as described herein.
1.2 Direct Bookings
Payment Terms:
When booking directly via the BGRSA website, a 50% deposit (plus additional extras if ordered) will be charged within 24 hours of booking, with a receipt emailed to you.
The remaining balance will be charged 7 days prior to your arrival.
Bookings made within 14 days of arrival must be paid in full at the time of booking.
Failure to pay the balance by the due date may result in cancellation of your booking. In such cases, we reserve the right to re-let the property.
Cancellation Policy:
More than 60 days before arrival: Full refund minus a $150 administration fee.
30–60 days before arrival: 50% of the total booking will be forfeited.
Less than 30 days before arrival: No refund will be provided.
No-shows or shortened stays: No refund will be issued.
1.3 Indirect Bookings
Bookings made through third-party platforms (e.g., Airbnb, Booking.com, TripAdvisor) are subject to the terms and conditions of the respective platform, including cancellation policies. For clarification, please contact us at [email protected].
2. Cancellation or Amendment by Barossa Grand Retreats
While cancellations or amendments are rare, unforeseen circumstances may necessitate changes to your booking. Should this occur, we will notify you promptly.
If we must cancel your booking, a full refund of monies paid to Barossa Grand Retreats will be provided.
We are not liable for any additional costs, damages, or expenses you may incur as a result of cancellation or amendments.
3. Guest Obligations
3.1 Check-In and Check-Out
Check-in: From 2:00 PM on the day of arrival.
Check-out: By 11:00 AM on the day of departure.
Late departures without prior arrangement will incur a fee of $150 per hour, charged to the credit card on file.
3.2 Property Condition
Guests are expected to leave the property in the same condition as found upon arrival. This includes all fixtures, furnishings, and appliances. Any damages or excessive cleaning required will result in charges to the credit card on file.
Please report any issues or damages to the Property Host immediately for resolution.
4. Additional Guests
Only the number of guests specified in your booking is permitted to stay at the property. Unauthorised guests may result in additional charges or cancellation of the booking.
5. Parties and Events
Events, parties, or gatherings are not permitted without prior approval. Additional charges may apply for extra guests or cleaning. Guests are responsible for all visitors and any damages they may cause.
6. Smoking
Smoking is prohibited inside all Barossa Grand Retreats properties. Evidence of indoor smoking will incur specialised cleaning fees. Smoking is permitted in designated outdoor areas, and all waste must be disposed of properly.
7. Pets
Due to the nature of our properties and surrounding wildlife, pets are not permitted.
8. Lost Property
Barossa Grand Retreats is not responsible for any personal belongings left behind. Items found will be held for 30 days. If not collected or arranged for return, they will be disposed of. Return postage costs are the responsibility of the guest.
9. Liability
Barossa Grand Retreats is not liable for loss, damage, or injury sustained by guests or their visitors. Guests are responsible for supervising children and ensuring their safety.
Glass is strictly prohibited in pool areas at our Gawler Park Estate property.
10. Housekeeping
Guests must leave the property in a clean and tidy condition:
- Dishes washed and stored
- Food removed from the refrigerator
- Garbage disposed of in outdoor bins
Additional cleaning fees will apply if the property is not left in an acceptable condition.
11. Force Majeure
Barossa Grand Retreats is not responsible for circumstances beyond our control that may prevent or affect your stay, including but not limited to natural disasters, extreme weather events, government actions, pandemics, power outages, or other unforeseen events. In such cases, no refunds or compensation will be provided.
12. Security and Surveillance
For the safety and security of our guests and properties, Barossa Grand Retreats may use external surveillance cameras at entry points and other security systems. No surveillance is used inside the properties to ensure guest privacy. Guests are expected to respect this policy and avoid tampering with or obstructing surveillance equipment or security systems in place.
13. Guest Responsibilities
Guests are responsible for:
- Securing the property by locking doors and windows when leaving the premises
- Proper use of all amenities and appliances in accordance with provided instructions
- Reporting any maintenance issues immediately to ensure swift resolution
- Not disclosing details of the entry key lockbox system with any unauthorised guests
Failure to comply may result in charges for damages or loss
14. Complaints and Disputes
Should any issues arise during your stay, please notify the Property Host immediately to allow us the opportunity to resolve the matter promptly.
Any disputes or unresolved complaints must be submitted in writing to [email protected] within 7 days of departure.
Barossa Grand Retreats reserves the right to address complaints at its discretion.
15. Booking Platforms and Third-Party Responsibility
Barossa Grand Retreats operates listings on third-party platforms such as Airbnb, Booking.com, and TripAdvisor. While we strive to ensure accurate representation of our properties on all platforms:
Barossa Grand Retreats is not liable for errors, inaccuracies, or technical issues originating from these third-party platforms.
Guests must refer to the platform’s terms and conditions for platform-specific concerns, including cancellations or refunds.
16. Special Requests
We are happy to consider special requests, such as early check-ins, late check-outs, or additional services, subject to availability and management approval. Any approved special requests may incur additional fees, communicated and agreed upon in advance.
17. Indemnity
Guests agree to indemnify Barossa Grand Retreats and its representatives against any liability, claims, losses, damages, costs, or expenses (including legal fees) arising from their stay, including:
- Failure to comply with these terms and conditions
- Any damage or injury caused by guests or their visitors
- Unauthorised use of the property
18. Privacy Policy
Barossa Grand Retreats respects your privacy and is committed to protecting your personal information. Any personal data collected during the booking process will be stored securely and used solely for booking management, guest communication, and compliance with legal obligations.
